This is why we have drafted this privacy statement so that you understand who we are, what personal data (as defined in the General Data Protection Regulation – GDPR - (Regulation (EU) 2016/679 of the European Parliament) and any national implementing laws as amended or updated from time to time) (persoonsgegevens) we collect about you, why we collect it, what we are allowed to do with it, how we protect your privacy, how long we keep it, with whom we share it and what your privacy rights are.

Keep in mind that personal data means any information or set of information from which we are able, directly or indirectly, to personally identify you (as a data subject/ betrokkene), in particular by reference to an identifier, such as a name and surname, email address, phone number, et cetera.

Please also bear in mind that Add-Onn B.V. is committed to the safe and secure processing of personal data and compliance with applicable data protection law. We have implemented appropriate technical and organizational measures to protect your personal data against loss or unlawful access. The amount of personal data we process is kept as little as possible. The number of persons with access to your personal data is also limited. Only individuals associated with Add-Onn B.V. that need to process your personal data in accordance with the purposes below will have access to your personal data.

Who we are

Add-Onn B.V., a Dutch private limited liability company (een Besloten Vennootschap met beperkte aansprakelijkheid), its subsidiaries and controlled joint ventures (“Add-Onn” or “we” or “us”) respect your privacy.

When this statement mentions “we,” “us,” or the “Company,” it refers to the controller of your data under this statement, namely Add-Onn affiliate with which you had, have or will have a business relationship or that otherwise decides which of your data are collected and how they are used, as well as Add-Onn B.V. (Chamber of Commerce trade registration number 76602761, Algolweg 9 - 1, 3821 BG, Amersfoort, The Netherlands).

Please note that the Add-Onn affiliates include the subsidiary companies in which Add-Onn B.V. has control, either through direct or indirect ownership.

How we obtain personal data

In most cases we receive your personal data directly from you. In other cases, where we do not receive personal data directly from you, we obtain your personal data via one or more of the following means

When you post material to our Website, participate in bulletin boards, chat rooms, blogs, comment threads, forums, or other interactive features of our Website, register, or request further information or services from us.

  • When you report a problem with our Website and/or our Solutions.

Other information you may submit to us related to your use of our Website or attendance to an Event, including without limitation, billing information.

2. Information from third parties.

As Add-Onn B.V. delivers Solutions as addons on existing Software platform, we can also receive information collected from these third party platforms in order for the proper working and/or improvement of our Solutions. We also use third parties for reporting and analytics to measure the effectiveness of our Website and marketing efforts, and to identify areas for improvement.

3. Information we collect as you navigate through the Website or use our Solutions.

As you navigate through the Website, we may also automatically collect details about your visits Website, including your IP address, usage patterns, traffic data, location data, logs and other communication data and the resources that you access, as well as information about your computer and internet connection, including your operating system and browser type.

Add-Onn collects data from you, through our interactions with you and through your usage of our Solutions. You provide some of this data directly, and we get some of it by collecting data about your interactions, use, and experiences with our Solutions. The data we collect depends on the context of your interactions and the choices you make, including your privacy settings and the Solutions and features you use. We also obtain data about you from third parties.

Why we process personal data

Personal data may only be processed for the purposes we have determined.If we want to use your personal data for other purposes than the purposes we have determined and communicated before we will inform you upfront. You can contact us if you have any further questions or need a further explanation about the purposes of our personal data processing.

We may use information that we collect about you for the following purposes:

  • To operate, maintain and improve Website.
  • To operate, maintain and improve our Solutions
  • To provide you with information, products or services that you request from us.
  • To carry out our obligations and enforce our rights arising from any contracts entered into between you and us, including without limitation, our Terms of Use.
  • To notify you about changes to our Website or obtain any required consent.
  • For industry analysis, benchmarking, analytics, marketing, and other business purposes.
  • To track your browsing behaviour, such as the pages you visited over time, for analytics and advertising purposes.
  • To contact you for marketing purposes, in accordance with your marketing preferences (for example, we may use your information to contact you to further discuss your interests in our services and products or other Events).

We collect and process Personal Data for a variety of purposes, including:

  • The processing of your name and contact information to provide you with information about our Solutions, manage your registration for and attendance at our events and webinars or for office visits, manage your registration for contests or promotions, provide you with customer support or otherwise communicate with you;
  • The processing of device and usage data to develop, improve, manage and customize our websites and services, to assess and improve the related user experience, to identify customer opportunities and to guarantee our websites’ and services' security and continued proper functioning;
  • To provide you with the necessary functionalities required during your use of our website and/or Solutions, and to review capacity requirements and compliance with the applicable usage terms;
  • To comply with our legal obligations under applicable laws and cooperate with public and government authorities.

We only collect and process your Personal Data to the extent it is necessary for fulfilling these purposes and where we can rely on a legal basis for such processing. Where required, we will ask you for your prior consent to processing.

We may also use the data to operate our business, which includes analysing our performance, meeting our legal obligations, developing our workforce, and doing research on improving our Solutions.

We may also use anonymous or de-identified usage data helping in such an analysis. We may also use anonymous or de-identified usage data on an aggregate basis in the normal course of operating our business.

You have choices when it comes to the technology you use and the data you share. When we ask you to provide personal data, you can decline. Many of our Solutions require some personal data to provide you with a service. If you choose not to provide data required to provide you with a product or feature, you cannot use that Solution or feature.

Likewise, where we need to collect personal data by law or to enter into or carry out a contract with you, and you do not provide the data, we will not be able to enter into the contract; or if this relates to an existing product you’re using, we may have to suspend or cancel it. We will notify you if this is the case at the time. Where providing the data is optional, and you choose not to share personal data, features like personalisation that use such data will not work for you.

What personal data we collect or gather

We do not collect personal data without a reason. We only collect personal data we need for the purposes we described above.

We collect personal master data (key personal data) and contact data such as names and contact details of the representatives of our clients, for instance e-mail address, phone number, payment details, invoicing address, et cetera. We may also collect additional key contract data insofar this data is necessary for our contractual/legal relationships. We further collect network and device identification so that you can use our software, for instance IP-address.

We may need your personal data to conclude a contractual relationship. If you do not share this information with us this may mean we cannot conclude a contract with you and we cannot stay in touch with you.

If you use our Solutions as an enduser, we also gather anonymized data of the usage of our Solutions to improve our Products.

Why we are allowed to process personal data

Personal data may only be processed if we have a legal basis. For the processing of your personal data we can refer to the following legal basis:

We normally request your permission to process your personal data. However, we are also legally required to process your personal data and the personal data we collect that are necessary for the usage of our Solutions.

We also collect your personal data to the extent there is a justified commercial and marketing interest.

We also collect usage data in order to be able to deliver our Solutions and services to you within the contractually agreed parameters.

Your personal data are required for the agreement we conclude with you. In all other cases we have a justified reason to process your personal data. Without this personal data it is not possible to stay in touch. We also process personal data for financial purposes.

Sharing of personal data

We share your personal data with your consent or to complete any transaction or provide any product you have requested or authorised. We also share data with Add-Onn -controlled affiliates and subsidiaries; with vendors working on our behalf; when required by law or to respond to legal process; to protect our customers; to protect lives; to maintain the security of our products; and to protect the rights and property of Add-Onn and its customers.

Protection of your personal data

We take the necessary steps to protect the personal data we have obtained. We have taken the necessary technical and organizational measures to protect your personal data.

With these technical and organizational measures to mitigate any undesired or unauthorised use of or access to your personal data. With our measures we aim to only allow the required persons to have access to your personal data and that access to your personal data is protected. We check our technical and organizational measures on a regular basis. We have, amongst others, the following measures in place:

  • Access controls on our laptops and systems with required password access;
  • Physical and technical measures to limit access to our offices;
  • Encryption technology for access to digital files;
  • Protection of our network connections;

Data is accessible for certain purposes only and data is saved within the EU.

We have further concluded data processing agreements with our (sub-)processors wherein certain obligations regarding the protection of personal data are made.

Amendments to this privacy statement

We may amend this privacy statement. If this privacy statement is amended significantly we will inform you. If you are not registered with us we cannot inform you and you will have to check this privacy statement on a regular basis.

What are your personal data rights

The personal data we process are strictly personal. You have therefore the following rights:

  • The right to withdraw your permission
  • You have the right to withdraw the permission you have granted us to process your personal data. From that moment we cannot process your personal data if there is no other legal basis to process your personal data.
  • The right to inspect, rectify and delete

Upon your request we will inform you if something has happened with your personal data and what has happened with your personal data. We will share information on the purposes for what your personal data is used and what personal data is used and who the receivers of the personal data are. We will also inform you what term your personal data is saved and why. Should we process incorrect personal data than you have the right to have us amend, correct or complete these data. In certain situations and under conditions you have the right to have us delete the personal data we have from you.

Right of limitation on processing

You have the right to limit the processing of your personal data for instance if you deem that we do not process the correct information we have from you or there is no legal basis.

Right of data portability

You have the right to claim back the personal data you have shared with us. Insofar possible we, upon your request, can share your personal data with another person.

Right to object

You have the right to object against the processing of your personal data. In this objection you have to motivate why you have an interest in us not processing your personal data.

Right to complain

You have the right to file a complaint with the Privacy Authority (Autoriteit Persoonsgegevens) (AP).

Would you like to use your rights? Please contact us. We strive to respond within thirty days upon your request. However, due to the complexity of your request it may take more time to respond.

International transfer of personal data

Add-Onn B.V. stores and processes any information collected in connection with the Website, Solution or an Event in: (i) any country where we have facilities, (ii) any country in which we engage service providers; or (iii) any country where Events are held.

Therefore, your Personal Data may be processed outside your jurisdiction, and in countries that are not subject to an adequacy decision by the European Commission or your local legislature or regulator, and that may not provide for the same level of data protection as your jurisdiction, such as the European Economic Area (“EEA”).

If you are a visitor or enduser from the EEA, we will protect your personal information when it is transferred outside of the EEA by:

Processing it in a territory which the European Commission has determined provides an adequate level of protection for personal information; or

Otherwise implementing appropriate safeguards to protect your personal information, including through the use of Standard Contractual Clauses or another lawful transfer mechanism approved by the European Commission.

Cookies

“Cookies” are files which store certain information on your computer. When you visit the Website via your computer, it is possible that we will place a cookie on your computer that maintains certain information so that your computer is automatically recognised the next time it visits the Website. Cookies allow us to adapt the Website to your interests, to tailor the information presented to you based on your browsing preferences, such as remembering who you are for product support or personalising pages and to save your password so that you do not need to re-enter it each visit. If you use an Add-Onn Solution with an account provided by an organisation you are affiliated with, such as your work account, that organisation can:

  • Control and administer your Add-Onn product and product account, including controlling privacy-related settings of the product or product account.
  • Access and process your data, including the interaction data, diagnostic data, and the contents of your communications and files associated with your Add-Onn product and product accounts.

If you lose access to your work account (in event of change of employment, for example), you may lose access to products and the content associated with those products, including those you acquired on your own behalf, if you used your work account to sign in to such products.

If your organisation provides you with access to Add-Onn products, your use of the Add-Onn products is subject to your organisation's policies, if any. You should direct your privacy enquiries, including any requests to exercise your data protection rights, to your organisation’s administrator. Add-Onn is not responsible for the privacy or security practices of our customers, which may differ from those set forth in this privacy statement.

When you use an Add-Onn product provided by your organisation, Add-Onn’s processing of your personal data in connection with that product is governed by a contract between Add-Onn and your organisation. Add-Onn processes your personal data to provide the product to your organisation and you, and for Add-Onn’s legitimate business operations related to providing the product. As mentioned above, if you have questions about Add-Onn’s processing of your personal data in connection with providing products to your organisation, please contact your organisation.
